Vales Audio is operated by a sole trader in the United Kingdom. This policy explains what personal information Vales Audio collects, why it is used and how it is handled.

Information collected

When you contact Vales Audio through the website enquiry form, the following information may be collected:

  • your name;
  • your email address;
  • your company or project name, if you choose to provide it; and
  • the contents of your message.

If you become a client, additional information may be provided as part of normal project communication, including project details, manuscripts, audio files, production notes and delivery information.

The website also temporarily processes an IP address when the enquiry form is submitted in order to prevent spam and repeated automated submissions. The associated rate-limit record expires shortly after the rate-limiting period ends.

How information is used

Personal information is used only where reasonably necessary to:

  • respond to enquiries;
  • discuss, arrange and provide Vales Audio services;
  • communicate about active or previous projects;
  • deliver completed work and provide subsequent revisions or replacement files;
  • maintain appropriate business and financial records;
  • protect the enquiry form against spam and abuse; and
  • meet legal or regulatory obligations where required.

The lawful basis will normally be taking steps at your request before entering into a contract, performing a contract with you, complying with a legal obligation, or Vales Audio's legitimate interests in operating and protecting the business and providing ongoing project support.

Project and audio files

Large audiobook and project files may be transferred using third-party services agreed for the project, such as Dropbox, Google Drive or WeTransfer. Those services process information under their own privacy policies and terms.

Project materials may also be stored on Vales Audio working or archive storage.

Completed project materials may be retained where reasonably useful for later revisions, replacement files, queries or subsequent work. Stored material is periodically reviewed and may be deleted when there is no longer a reasonable business or legal need to retain it.

Sharing information

Vales Audio does not sell personal information or distribute it to third parties for their own marketing purposes.

Information may be processed or shared with service providers where reasonably necessary to operate the website, communicate with clients, transfer files, deliver services or maintain business records. Information may also be disclosed where required by law.

Website tracking and cookies

The current public Vales Audio website does not use advertising trackers, analytics pixels or non-essential tracking cookies.

The enquiry form does not store information in your browser. Audio samples are hosted as part of the website and their players do not contain advertising or analytics tracking.

This may change if new website features are introduced. This policy and the Cookies information will be updated where necessary before those features are used.

How long information is kept

Vales Audio does not keep all information for a single fixed period.

Information is retained only for as long as reasonably necessary for the purpose for which it was collected, including completing projects, responding to later project queries, supplying replacement material, maintaining necessary business records and meeting legal obligations.

Records and stored project material are reviewed periodically and information that is no longer reasonably required may be securely deleted.

Temporary information used solely to rate-limit the website enquiry form expires shortly after the rate-limiting window.

Your rights

Depending on the circumstances, UK data protection law may give you rights over your personal information, including rights to:

  • ask for a copy of personal information held about you;
  • ask for inaccurate or incomplete information to be corrected;
  • ask for personal information to be deleted in certain circumstances;
  • ask for use of your information to be restricted in certain circumstances;
  • object to certain uses of your information; and
  • request transfer of certain information where applicable.
